AI in a travel agent’s daily work: the quick wins already making a difference

In 2025–2026, AI is everywhere in the conversation. Travel Tech Factory shares three quick wins making a practical difference to agency work: confirmation emails, quote variations and comparative sales arguments.

In 2025–2026, artificial intelligence is everywhere in the conversation — conferences, trade shows, press releases… But one question keeps coming up on the ground in travel agencies: “What is it actually useful for today?”

The reality behind the buzzword

For anyone fortunate enough to have observed pioneering teams, the answer is both reassuring and exciting: AI is not (yet) the wholesale replacement of the human agent.

For those who have adopted it, AI is a quiet but powerful accelerator — an invisible copilot that frees time from low-value tasks for high-value work: advice, relationships and sales.

Travel Tech Factory (TTF), a consulting and engineering company specialising in digital transformation for travel, has just integrated AI into its own operational processes. Three use cases have emerged as quick wins: fast, measurable and repeatable improvements.

Quick win #1: drafting personalised confirmation emails across multiple providers

An average corporate travel booking involves three to six providers: airline, hotel, car hire, transfer, sometimes insurance or visa assistance. Every provider has its own booking codes, terms and terminology. The agent must bring it all together into a clear, personalised and flawless confirmation email for the traveller, often under time pressure.

Before AI: the agent opened each provider’s record, copied the relevant information and assembled it in a manually formatted email. Allow 15 to 25 minutes for a complex booking.

With AI: the agent enters the key data (or imports it from the booking tool) and triggers automatic generation of a structured email, personalised to the traveller’s profile (language, formality, known preferences) and aligned with the agency’s guidelines. Reviewing and sending takes under 3 minutes.

TTF has integrated this use case directly into some clients’ booking tools. AI does not replace the agent: it removes administrative friction. The time saving is immediate and repeatable, and the agent can direct that freed capacity towards higher-value advice.

Quick win #2: rapidly preparing quote variations

One paradox of a travel agent’s job is that customers often expect two or three alternatives in price and service, yet preparing each one takes almost as long as the original quote. As a result, many agencies offer only one option, risking the loss of customers whose criteria it does not quite meet.

AI changes that equation. From an initial quote entered into the booking tool, it automatically generates two or three variations based on defined parameters: a budget option (low-cost or connecting flight, 3-star hotel, no extras), a mid-range option (mainline carrier, 4-star hotel, transfer included) and a premium option (direct business-class flight, 5-star hotel, concierge service). Each variation is formatted with descriptions appropriate to its positioning.

A task that used to require 45 minutes to an hour of extra work is completed in under 10 minutes.

TTF initially tested this workflow on individual bookings, with noticeable gains as customers feel better supported in their decisions. For groups and complex business travel, experimentation is still underway.

Quick win #3: generating comparative sales arguments for a hesitant customer

This is often the moment of truth in sales: a customer has received two or three quotes, is hesitating, compares them with an online offer and asks about the differences. The agent must respond quickly, accurately and clearly — without appearing to oversell.

The AI built into our sales support system lets agents generate a structured comparison in seconds: why is this €1,850 option worth more than the €1,490 offer found online?

AI identifies objective differences (included services, ticket flexibility, insurance coverage, transfer quality) and formulates arguments suited to the customer’s profile, weighted against their original preferences. For a leisure customer focused on value for money, it will emphasise included extras.

Assisted explanations

The agent remains in control of the conversation, supported by a brief prepared by AI. The result: more confidence in sales discussions, fewer customers lost over poorly explained price differences and, above all, continuous learning about tour operators’ many products, of which an agent may know only 10 to 20%.

Measurable benefits

  • 60 to 70% less administrative handling time
  • Capacity to handle more bookings simultaneously without additional recruitment
  • Higher conversion rates through variations and sales arguments
  • Fewer communication errors between providers
  • A better perceived customer experience: responsiveness, personalisation, professionalism

Three conditions for success

These quick wins do not happen by magic. Three conditions are necessary:

1. Input data quality. AI produces good outputs when it receives good inputs. A poorly completed record leads to an imprecise email or quote. Accurate data entry remains a human responsibility.

2. Integration into existing tools. Benefits are greatest when AI is built directly into the booking tool, rather than requiring agents to juggle several interfaces. This is why TTF chose direct integration into a booking interface.

3. Team training. This means learning the principles of prompting rather than lengthy technical training — learning to express clearly what you want from AI to get the expected result.

“AI is not here to replace the agent’s judgement, but to remove the friction between their intention and its execution. The time freed up should be reinvested in what only a human can do: listen, reassure, advise and build loyalty.” — Cyril Guiraud, CEO of Travel Tech Factory

Change starts now, not tomorrow

Agencies waiting for AI to be “truly ready” risk missing the opportunity. The quick wins described here are available today, through existing solutions, for a reasonable investment.

TTF has just demonstrated it in practice: everyday AI is not an abstract revolution. It is a practical assistant that saves time, improves quality and strengthens customer confidence.

The real question is no longer “whether” agencies will adopt AI, but “how quickly” — and those starting now will build a competitive lead that is hard to close.
